Usage

After logging in, you will find the areas Spamfinder, Maildepot, Filter (blacklists), Settings in the left area.
The available areas can be restricted accordingly for all or certain users through policies in the Admin web interface.

In the upper area via File you have access to settings for language, display theme, login settings and updates.

The display in the Spamfinder includes both CISS and Spam mails and can be selected or deselected accordingly via the Filter button by selecting CISS / Spam.
E-mails that are listed as spam have been classified as spam by the REDDOXX Appliance.
If e-mails were mistakenly detected as spam (so-called "false positives"), they can still be delivered subsequently.

  • Search: You can search for e-mails in the "Spam mails queue and also delete them.
    In the list view, you can see the time of receipt, the sender, the recipient, subject, size and the filter that classified the e-mail as spam.
    Sorting by the characteristics of the e-mails is also possible here.
    To do this, click on the column heading.

Various manual options are available for the individual processing of these e-mails.
With a click on the right mouse button on a mail, you can display it, deliver it, add it to a whitelist (user-based address or domain whitelist) or delete it.
E-mails in the spam quarantine are also automatically deleted after a predefined period of time.
This can be adjusted in the Admin Web Interface -> Spamfinder -> Settings.

Via the button "Deputies", the spam quarantine of another user or e.g. public folder can be viewed.

The CISS filtered mails show mails that have not yet been confirmed by the sender.
The mails can be delivered manually if desired.
It is possible to permanently activate the sender.

In the archive, all e-mails are stored which were sent or received by the appliance and which comply with the archiving rules (policies) defined by the administrator.
Archived e-mails can be displayed and, for example, redelivered.
It is also possible to search for specific e-mails according to certain criteria.
For the logged-in user, all e-mails are displayed for which he or she is authorised to access either via his or her own e-mail addresses, deputy settings, category authorisations or activated audit sessions.

The search in the archive is based on a full-text index (this includes all text-based documents and files).

One or more partial search terms can be searched for, which must all occur in the content searched for (AND link).
The standard search searches all contents of a mail.
For an OR-linked search or a direct search, e.g. for a specific subject, the advanced search must be used.

Wildcards can be used in the middle of a word or at the end of a word in the search.

* (asterisk) Any number of characters (including none)
? (question mark) Exactly one character

By selecting a category in the displayed archive category structure, the search is limited to this category (this is thus applied as a filter).
If no category is selected (default), the entire archive is searched.

Searches can be carried out and saved via the advanced search.
Saved searches can then be found in the drop-down menu in the advanced search.

The button "Deputies" determines which e-mail addresses are used for the search.
In this way, the search in the archive of an employee who is on holiday, for example, can also be carried out with existing deputy authorisations.

If an e-mail is selected from the archive, additional functions are available (by right-clicking or via the menu):

  • Show: The e-mail is displayed as a preview, attachments can also be opened in this view.
  • Save: Saves the e-mail in .eml format.
  • Save MailSealer message: Saves the mail processed by MailSealer (the e-mail is saved in its encrypted state).
  • Show history: The e-mail history is displayed for the individual processes.
    The saved content can be read out by clicking on each individual process.
  • Deliver: the e-mail is resent to the recipient.
  • Forward message: The archived e-mail can be forwarded to any recipient.
  • Assign to category: The e-mail is added to a category.
  • Suggest for category: The e-mail is suggested for addition to a category.
  • Remove from category: The e-mail is removed from the category (this only refers to the assignment to the category, the e-mail can still be found in the archive afterwards).

In an audit session, authorised users can view certain e-mails from selected categories and containers with the approval of other persons (=multi-eye principle).
The auditor can thus start the audit via the user interface and view the e-mails provided.
An audit is fully recorded via the history so that it can be traced exactly who - when - read which email and who agreed to this at the beginning of the audit.
The search options of an audit do not differ from the search of a user.
The audit session is ended via "End audit".

In category voting, the user has the option, as long as he has been designated as the controller for the category, of approving or rejecting a user's proposal.
The user can also have the message displayed as a preview, as well as the votes already awarded.

It is possible to add, edit and delete whitelist and blacklist entries.
You can also search for entries.
When you create a whitelist or blacklist, you must enter a validity date and a description.

In the settings, you can adjust your user profile, your e-mail aliases, the settings for the daily queue report, as well as the appearance of the REDDOXX software and your password.

  • User profile: Here you can adjust the password, this is only possible for local users, not for AD users.

  • MailDepot: Here you can adjust the standard display period for e-mails. For performance reasons, 7 days is recommended (a search in the archive will of course still take place over the entire period).
    You can also activate the preview area and whether it should be on the right or at the bottom.

  • E-Mail Address: Here you can select the filter profiles used for each e-mail address (from the list of filter profiles available for users), as well as designate a deputy for an e-mail address.
    Deputies are then authorised to access your email archive and quarantine queues.

With a click on "Logout", the connection to the REDDOXX Appliance is terminated.
You return to the login window and can log in again, also under a different user name.
